Welcome to our Departure Information page! Here, you’ll find everything you need to know about your departure.  No matter your length of stay, we’ve got you covered with all the essential information.

  • (FAQs) Frequently Asked Questions

    • Where do I hand in my key/swipe card? 

    All keys and swipe cards should be handed into Reception. Please do not leave your keys/swipe card in your room as this is not proof of your departure. If you want to return your keys outside of 9:00-5:00pm please leave them with security.

    • What day do I need to depart from my room? 

    Your final departure date will be on your booking agreement/terms and conditions which you signed before your arrival into halls. 

    • What time do I need to depart from my room? 

    All rooms must be vacated by 9:00am on the final departure date. 

    • What happens if I accidentally leave something in the room? 

    During the end of departure checks, the accommodation team will check for any items left behind. You will be emailed and then have 3 months to collect the item before it is donated to a local charity. 

    • Can I hand my keys/swipe card in before the checkout date? 

    Yes. You can hand your keys/swipe card earlier then your final departure date, but please be aware you will still be charged up until the date stated on your booking agreement/terms and conditions. 

  • Compulsory Departure Agreement

    Accomm Departure Agreement,

    When you depart from halls of residence you will need to complete the compulsory departure. The QR code is available at receptions so you can scan and fill in the form when handing in your keys. 

    The agreement is your way of showing the accommodation team you have vacated your room and have returned it to its original state as per the arrival inventory.

    Please be aware when you hand in your keys/swipe card you will also need to physical sign to finalise the departure. 

  • Damage Charges

    After you depature, the accommodation team will complete an end of departure check of your room. All rooms should be returned to their original state as per the arrival inventory.

    If there are damages found during the accommodation teams end of departure checks, a damage charge will be applied to your account which you will need to pay. This will be sent to you via email.

    Some examples of common damages include:

    • Cleaning of rooms/ensuite.
    • Damaged or stained mattress.
    • Wall paint damage.
    • Carpet damage or stains.
    • Broken furniture or fixtures.

    The chargers also apply for any rubbish found in your room during the end of booking checks.

  • Donations

    When you vacate your room, you may wish to donate some items which can be reused, recycled or given to our British Heart Foundation partnership.

    These initiative's not only helps reduce our environmental impacts, but it also benefits the community by providing support to those in need. Your donation can make a meaningful difference, so please consider contributing. 

    Thank you for helping us be more sustainable and giving back to those around us! 

    Clothes Donation:

    If you have clothes, you no longer wear, please consider donating them to the British Heart Foundation. Donation boxes are located: 

    • Ambleside: Helvellyn Cellar.
    • Lancaster: Metal bin nexts to Waddell South.
    • Fusehill Street: Metal bin outside of accommodation. 
    • Brampton Road: Within the sign centre. 

    Go Green Live Clean - Student to Student donation

    During your departure you may wish to leave duvets, pillows and kitchen appliances behind. We kindly ask that if you are wishing to make a donation to the university that you bag up any belonging you wish to donate and leave them with the accommodation team. If you are departing out of hours, please ensure that all items which you wish to donated and labled and bagged to confirm donation and left within your room. 

    Food Bank:

    We strongly encourage all students who have non-perishable food left over to donate it to local food banks. To make this easier, donation boxes will be available inside your halls during your depature date.

  • Mail Redirection

    When you vacate its important to get all of your mail redirected. This also includes, changing the address of your new room if you are moving due to a summer extension or new acadmic year.
    You can set this up at any post office or online (www.royalmail.com). Please bear in mind that this request must be made at least 5 working days before your agreement end date. 

    The Accommodation Office will not be responsible for forwarding mail.
  • Thinking of withdrawing or intercalating?

    Are you thinking about taking a break, transferring or withdrawing? find out more here

    Intercalation or withdrawal means you may need to be released from your accommodation contract, as you will no longer be classed as a student.

    Once the accommodation team receives confirmation of your withdrawal, you will be issued a six-week notice period and provided with a final end date for your accommodation.

    Any overpayment on your account will be refunded. If there is an outstanding balance, your accommodation fees will be recalculated and a revised invoice will be sent showing the final amount due.
